Small Group Trip Cancellations & Refunds

We understand that plans sometimes change. Because Acacia Tree Travels makes advance commitments to hotels, local operators, transportation providers, guides and other suppliers, cancellation fees increase as the departure date approaches.

These policies apply to Acacia Tree Travels hosted small-group journeys. Custom travel and reservations booked through third-party tour operators or other suppliers may have different cancellation terms.

Deposit

A $500 per-person deposit is required to reserve your spot.

Your deposit may be cancelled and refunded within 7 days of payment, less any non-refundable payment-processing fees.

After 7 days, the deposit is non-refundable and is applied toward the total cost of your trip.

Final Payment

The remaining trip balance is due 120 days before departure.

If you register fewer than 120 days before departure, the full trip price is due at the time of booking.

If You Cancel Your Trip

All cancellation requests must be submitted to Acacia Tree Travels in writing. Cancellation fees are based on the date we receive your written cancellation.

MORE THAN 120 DAYS BEFORE DEPARTURE
Payments refunded, less the non-refundable deposit and any non-refundable supplier costs already incurred.

120–91 DAYS BEFORE DEPARTURE
25% of the total trip price is non-refundable.

90–61 DAYS BEFORE DEPARTURE
50% of the total trip price is non-refundable.

60 DAYS OR FEWER BEFORE DEPARTURE
100% of the trip price is non-refundable.

If non-refundable supplier commitments exceed the cancellation amount listed above, those costs may also be deducted from any refund.

Travel Insurance

Travel insurance is strongly recommended for all travelers.

Because unexpected illness, injury, family emergencies and other circumstances can occur, we encourage travelers to purchase coverage that includes trip cancellation and trip interruption.

Acacia Tree Travels cannot guarantee reimbursement for costs that fall outside our cancellation policy. Coverage, exclusions and claim decisions are determined by the travel insurance provider. If you'd like help finding travel insurance, Acacia Tree Travels can provide policy options for you to review and purchase, but you are always welcome to purchase coverage from another provider.

If Acacia Tree Travels Cancels a Trip

Small-group journeys require a minimum number of travelers to operate.

If Acacia Tree Travels cancels a trip because the minimum group size is not reached, travelers will receive a refund of payments made to Acacia Tree Travels for the trip.

Acacia Tree Travels is not responsible for expenses booked independently by travelers, including airfare, additional hotels or other arrangements. For this reason, travelers should wait to purchase airfare until Acacia Tree Travels confirms that the trip is proceeding and provides recommended flight information.

If a trip must be cancelled, postponed or significantly changed because of circumstances outside our reasonable control—including severe weather, natural disasters, government restrictions, civil unrest or other force majeure events—refunds will depend on amounts recoverable from the hotels, local operators and other suppliers involved. This is consistent with the force-majeure language already contained in your Terms & Conditions.

Changes After Booking

If you request changes to your reservation after booking, we will do our best to accommodate them. Any additional costs, supplier penalties or change fees resulting from the request will be the traveler's responsibility.

Unused portions of a trip are not refundable once travel has begun.

Deposit Transfers

After the initial 7-day refund period, the $500 deposit is non-refundable. However, if you need to cancel your trip more than 120 days before departure, your deposit may be transferred one time to another Acacia Tree Travels small-group journey departing within 24 months of your original trip.

The transferred deposit may be applied toward the new trip's deposit or trip price. Any difference in trip price will be the traveler's responsibility.

Deposits cannot be transferred to another traveler and have no cash value.

A Few Important Notes

Trip prices, payment deadlines and cancellation terms for a particular journey may occasionally differ because of supplier requirements. If a trip has different terms, those terms will be clearly disclosed before you register and will take precedence for that trip.
